Roof Inspection Software for Roofing Contractors

Updated 2026-11-02

Roof inspection software organizes inspection findings and photos so a roofing company can review the property and prepare an estimate. Roof Flow AI connects custom photo checklists on each lead with job photos, CompanyCam sync, address-based AI measurements, manual facet tracing and estimates with e-signature.

Roof Flow AI publishes this guide. Product capabilities come from its verified app knowledge; the workflow discussion is not insurance, legal or trade advice.

Make the inspection part of the job record

An inspection is a handoff between the person at the property and the people who prepare, sell and deliver the work. A camera roll alone gives the estimator pictures without necessarily explaining which job, appointment or proposed scope they belong to. A checklist alone can record completion without enough visual context. Evaluate software by following the collected information into the estimate rather than stopping at the moment the inspector finishes taking photos.

Roof Flow AI places inspections on the lead's Inspections tab. The same lead has Photos, Measurements and Est & Inv tabs, so the office can review inspection documentation alongside dimensions and the proposed agreement. Those tools connect the inspection to the broader roofing CRM. The software organizes information; it does not determine a diagnosis, approve an insurance claim or establish whether a particular scope is appropriate for the roof.

Before choosing a tool, identify the information your estimator needs from a visit. Use a familiar retail job and a familiar storm-related job as examples. Ask the inspector to show what would be collected and the estimator to explain how that documentation informs the estimate. This is an evaluation of your company's operating handoff, not a suggested technical inspection standard or a guarantee that completing a checklist makes the job ready to sell.

Custom photo checklists: define what your team collects

Roof Flow AI supports inspections with custom photo checklists. Owners and admins manage templates in Settings → Inspections, and the team uses the lead's Inspections tab for the visit. A reusable checklist gives your company a place to define its documentation requirements rather than expecting every rep to remember an informal list. The appropriate checklist content is your responsibility; this page does not prescribe roofing-trade or insurance requirements.

Start with the questions your office repeatedly has after a visit. Which views or observations does the estimator need to understand the proposed work? Which information is often missing when the job changes hands? Translate your company's requirements into a template, then test it on a sample property. Have the estimator review the output before adopting the template more broadly. Consistent collection is useful only when the information is actually usable downstream.

Keep distinct job types understandable without making the form a substitute for judgment. A retail replacement conversation and a storm-related visit may need different internal documentation emphasis, but neither should be treated as a software-driven determination of coverage or liability. Review the templates with the people who own the work. Avoid a long checklist that appears comprehensive but does not provide the photographs and context required to review the estimate.

Photos and CompanyCam: keep documentation connected

The lead's Photos tab provides a home for job photos in Roof Flow AI, and estimates can include documents and photos. Field crew users can add job photos and notes on assigned work. This lets you evaluate documentation from the salesperson's visit through installation without giving every field user the office view. Crew access is free and scoped to the crew's own jobs with no pricing visible.

Companies that already use CompanyCam do not need to assume a new CRM means abandoning their photo app. Roof Flow AI's verified app knowledge lists photo documentation with CompanyCam sync as live. The self-serve CompanyCam connection is in Settings → Integrations. Demonstrate your actual connected workflow, including where the estimator reviews the property, rather than assuming every CompanyCam function is reproduced inside Roof Flow AI.

Whether you use built-in photos alone or keep CompanyCam, define how the team will organize documentation around the property. Ask a rep, estimator and installer to review the same sample job. Confirm that the required images can be related to the intended scope and assigned work. This guide does not promise offline capture, specialist report formats or an unverified inspection certification; those should never be inferred simply from the presence of a Photos tab.

Measurements support the estimate, not the inspection judgment

Roof Flow AI includes unlimited in-house AI roof measurements from an address. The lead's Measurements tab also supports manual tracing on a satellite map with per-facet pitch and edge classification, with saved measurement versions per lead. Those capabilities help the estimator review the geometry used for quantities. A measurement is not a substitute for documenting the inspected condition, access or the work your company proposes to perform.

Keep the limitation explicit: AI area and pitch are accurate, while linear quantities are estimated from roof area and can be low on complex roofs. Trace the roof or order EagleView before ordering material. Do not convert a convenient address-based measurement into a claim that every ridge, hip, valley or other linear quantity is a verified material-order amount. The estimator still needs to check the quantities used in the scope.

EagleView is a live connected option. Account connection belongs in Settings → Integrations; ordering a report belongs on the lead's Measurements tab through Order EagleView Report. An external report is separate from the included in-house AI measurement offer. Decide which measurement source is appropriate for the job, review the saved version and keep it associated with the estimate you are preparing. This page makes no report-turnaround or insurance-acceptance promise.

Retail and storm jobs: one reviewed handoff, different context

For a retail job, start with the lead and the planned appointment, collect the company's inspection documentation and review it before drafting the estimate. The homeowner's requested work and your proposed scope should guide the sales conversation. Software gives the office a place to keep that context; it does not decide what work should be performed or which contract terms apply. Have the appropriate people review those decisions outside a feature checklist.

For a storm-related job, keep inspection documentation and the customer's information attached to the lead as well. Roof Flow AI includes a storm tracker, which can be part of the team's storm workflow. Do not treat a storm map or a set of photographs as a conclusion about damage causation, coverage or a claim outcome. This guide discusses organizing the job, not interpreting policy terms or recommending insurance or legal actions.

Both workflows should reach a deliberate review point before the estimate is sent. Check the inspection photographs, measurement source, quantities and selected materials together. If information is missing, decide who will collect it and keep the draft scope separate from an approved agreement. The important software question is whether the office can find the context needed for that review without assuming the inspector's completion status proves that every downstream question has been answered.

From inspected property to a reviewable estimate

Roof Flow AI includes a material catalog and material kits with quantity formulas and waste percentages. Estimating also supports company default margin, per-line profit margin and a manual price lock. These tools let your team organize the pricing and quantity logic around the scope rather than starting from an empty list each time. Review units and formulas with your own products; a reusable kit can repeat an error if its inputs are not checked.

Relate the estimate to the documentation gathered at the visit. If an inspection photo explains a scope item, make sure the estimator reviews it with the dimensions and material choices. Do not assume that an image itself calculates the quantity or that every checklist response becomes a priced line. Demonstrate the actual workflow in the product and establish which decisions remain with your estimator. This prevents a feature tour from being mistaken for a complete estimating procedure.

The reviewed estimate can be sent for e-signature from Est & Inv on the lead. The homeowner signs by email and the signed PDF is stored on the lead. Check the scope and the agreement before sending; the software does not establish legal suitability. Keeping the retained agreement on the job supports the later handoff, but the team must still understand what was agreed and which instructions production needs.

Carry the reviewed scope into production

Roof Flow AI includes work orders, crew dispatch and material orders as part of the production workflow. Crew copies hide pricing, and crew users see their own crew's assigned jobs. Include that view in your evaluation so the people delivering the work can understand the address, scope and instructions without needing office financial access. Photo documentation should remain useful after the sale, not become a disconnected folder the crew cannot relate to the work.

Ask the production manager to review the same sample job the estimator used. Which inspection context needs to accompany the scope, and which quantities need another check before a material order? The linear-quantity limitation still applies at this stage: trace or order EagleView before ordering material. A signature does not validate a takeoff, and moving a record into production does not prove supplier availability or a confirmed delivery.

Choose inspection software with the people doing the handoff

Roof Flow AI's standard configured price is $120 per office user per month, with one plan and every feature on every seat. Setup is free, there is no contract, crew seats are free and unlimited, and in-house AI measurements are unlimited and included. Separate external reports and services from the subscription when budgeting. Count office users and crew-only users according to the access they need.

Bring your own checklist, a familiar address and an example estimate to a demo. Have the inspector explain the documentation, the estimator review measurements and material logic, and production inspect the assigned work. If CompanyCam stays in your process, include the connection. Decide based on that complete handoff rather than an unsupported claim that software guarantees better inspections, insurance outcomes, more sales or fewer mistakes.
